Video Sessions & Recording

Session Recording: All video mentorship sessions conducted through MentorWay may be recorded and transcribed for quality assurance, training purposes, and to provide you with AI-powered insights and analysis.

Audio Transcription: We transcribe audio from video sessions to generate session summaries, action items, and personalized recommendations. These transcriptions are stored securely and are only accessible to you, your mentor/mentee, and authorized MentorWay administrators.

Consent: By participating in a video session, you consent to the recording and transcription of that session. If you do not wish to be recorded, please do not join the video call.

Artificial Intelligence & Data Processing

AI-Powered Features: MentorWay uses artificial intelligence (powered by AWS Bedrock) to:

• Analyze session transcripts and generate insights about discussion topics, progress, and areas of focus.
• Provide personalized preparation tips before mentorship sessions.
• Generate session summaries and extract action items from conversations.
• Suggest relevant learning resources based on your goals and discussions.
• Match mentors and mentees based on profiles, interests, and needs.

Data Processing: Your session transcripts, profile information, and platform activity may be processed by AI systems to improve your experience. We use industry-leading AI providers with robust security and privacy measures.

Human Review: While AI assists in generating insights, human administrators may review content for safety, quality assurance, and platform improvement purposes.

Data Collection & Storage

Information We Collect: When you use MentorWay, we collect:

• Account information (name, email, password, profile details)
• Onboarding responses (career stage, interests, goals, availability)
• Session data (video recordings, transcripts, attendance, duration)
• Communication data (messages, forum posts, comments)
• Usage data (login times, features used, pages viewed, streaks)
• Goals, achievements, and progress tracking information
• Feedback and ratings provided for mentors/mentees

Storage: Your data is securely stored on Amazon Web Services (AWS) infrastructure with encryption at rest and in transit. We implement industry-standard security measures to protect your information.

Retention: We retain your data for the duration of your account plus a reasonable period afterward for legal compliance and operational purposes. Session recordings and transcripts are kept for up to 2 years after the session date.

Privacy & Security

Data Sharing: We do not sell your personal information. Your data is shared only with:

• Your assigned mentor/mentee (profile information, session data)
• MentorWay administrators (for support, safety, and platform management)
• Service providers (AWS, Auth0, Daily.co) under strict confidentiality agreements
• Legal authorities when required by law

Third-Party Services: MentorWay integrates with:

• Auth0: For secure authentication and account management
• Daily.co: For video conferencing infrastructure
• AWS (Amazon Web Services): For hosting, database, and AI services

These providers have their own privacy policies and security measures. By using MentorWay, you also agree to their respective terms of service.

User Responsibilities

By using MentorWay, you agree to:

• Provide accurate and truthful information during registration and onboarding
• Maintain the confidentiality of your account credentials
• Use the platform professionally and respectfully
• Not share session recordings or transcripts outside the platform without explicit consent
• Not use the platform for any illegal, harmful, or inappropriate purposes
• Respect the privacy and personal boundaries of other users
• Attend scheduled sessions or provide advance notice of cancellation
• Provide constructive and honest feedback when requested

Code of Conduct: Harassment, discrimination, or abusive behavior will not be tolerated and may result in immediate account suspension or termination.

Account Management & Access

Account Creation: You must be at least 18 years old to create a MentorWay account. By registering, you confirm that all information provided is accurate and complete.

Account Suspension: MentorWay reserves the right to suspend or terminate accounts that violate these terms, engage in inappropriate behavior, or pose a risk to the community.

Data Access: You can request access to your personal data, request corrections, or request account deletion by contacting our support team. Some data may be retained for legal compliance even after account deletion.

Disclaimers & Limitations

No Professional Advice: MentorWay facilitates mentorship connections but does not provide professional career counseling, legal advice, financial advice, or therapeutic services. Mentors share personal experiences and guidance but are not professional counselors unless explicitly stated.

Service Availability: While we strive for 100% uptime, MentorWay is provided "as is" without guarantees of uninterrupted access. We are not liable for technical issues, service outages, or data loss beyond our reasonable control.

AI Accuracy: AI-generated insights are provided for convenience and may not always be accurate or complete. Always use your own judgment and verify important information.

Third-Party Content: MentorWay may link to external resources and websites. We are not responsible for the content, accuracy, or practices of third-party sites.

Changes to These Terms

MentorWay reserves the right to update these Terms and Conditions at any time. We will notify users of significant changes via email or platform notification. Continued use of the platform after changes are posted constitutes acceptance of the updated terms.
